Using Voice Broadcasting Technology in Your Business 

“Voice Blast” or Voice Broadcasting is when you record a message and send it out to a group of telephone numbers.

This can be a very inexpensive way to reach your clients and prospects, as the cost is only about 12 cents per connect (you are not charged for numbers that are incorrect, busy signals, etc. Only the connections).

The other benefit is that it is immediate. You can decide to send a voice blast out and reach your entire list in just a few minutes.

The downside: People HATE recorded messages! So, you have to be very strategic in how you use it. One way to overcome this is to choose the “voicemail only” option. Try to send your voice blast at times where you know your target market will be out. For high end residential, this would be around 3:00pm as they are most likely out picking up kids, or they are not home from work yet.

If they are home, the voice broadcast will simply hang up. Have your caller ID show up so that you have a chance of generating a “return” phone call. This way, you can say “Oh yes, we were trying to call you…”. Then go into your script (see below).

“In what circumstances should you use Voice Blast Technology?”

Most often times you will use it to contact previous clients. If you get slow all of a sudden, or your regular mailers are not producing the results you want, or a flood hits and you want to get the word out about your emergency services, you can simply call your clients immediately.

CAUTION:  Be sure to observe DO NOT CALL restrictions. As I understand it, you can contact clients and prospects that have used your service or inquired about your services in the past 18 months. Outside of that, you must download a current DO NOT REGISTRY for your area to clean up your list. Go to www.donotcall.gov for information.

Some people use this technology to generate leads. They call a list and entice the listener to connect to them or to order a free report. Although this may work for some, it does not fit my business model. I don’t think this is the right approach for building a high end cleaning firm. Surely some will disagree, but there are so many better places to invest your time, money, and energy.

“What if my clients asks me not to call?”

Even when you do your voice blast in a way that that they don’t know it is a recording, some people just don’t want you to call at all. They are like “when we need you, we will call”. That’s okay. I will tell you in just a moment how you can put them on your own INTERNAL DO NOT CALL LIST.

How to implement the Voice Blast Technology

I use www.voiceshot.com, which is easy and effective. You simply go to the website and start a campaign. It gives you a phone number to call to record your message. Then you upload the list of phone numbers right from your computer. It’s really that easy.

What to say on your message

Typically the way most people use the service is to contact previous clients. So, if you have a special offer, an event, or an urgent matter, you simply tell them about that, using powerful, compelling copy. You want to sound as natural as possible. You actually want them to think that you called them personally. One technique that works well is to act like you are surprised to get the voice mail. The script goes like this:

 

Voice Mail finishes, and you hear the tone: Shuffle some papers, then “Oh, hi…this is <your name> from <you company>. Sorry I missed you. I was just calling you to let you know about the special offer we have going right now. I thought you might be interested in it. Right now we are offering 20% off all services. The offer expires soon, so give us a call at <your phone number>. Thanks so much!”

Other uses for Voice Blast Technology

My company actually uses this same service for Confirmation Calls and Quality Check Calls. Although it is not as personal, we found that busy professionals don’t really like to be bothered much, so a simple voice mail to remind them of their appointment or to thank them for their business seems to work well. You could even use it for Reminder Calls as well. We haven’t done that yet, but may start in the future. Of course we send a Confirmation Letter, Thank You Letter, and Quality Check Letter in addition to the calls.
